How to use the client portal tasks to collect documents from clients?

Assign tasks to client portal to request for documents you need

With Uku, collecting documents from clients is streamlined and secure through the Client Portal. You can request and track the progress by assigning specific tasks that clearly explain what you need.

Whether you use a task or a project template for this process doesn't matter. In both ways, you would need to enable Client Portal for the company and make sure the client has access to the portal.

Using a project is recommended when it is a one-time job, for example, onboarding your client. A task template is useful when you request documents every period, for example, every month.

Option 1: Use a Project Template

In the project, you can put the task date depending on the start date of the project.

  1. Create a Project Template

    • Go to Settings & Apps > Projects > Templates.

    • Click ADD New Project Template and add tasks as needed.

  2. Add tasks that are part of the onboarding process. In Uku, there are also onboarding templates that you can use as a base.

  3. Add all the tasks that are part of the onboarding process

  4. Add Document Collection Tasks

    • Include one or more tasks specifically for document collection.

    • Each task can have its description or checklist detailing what you expect from the client.

    • On the task, choose to assign the task to the client portal

  5. Assign the Project to a Client

    • Create a new project for the needed client and use the previously created template

Option 2: Use a Task Template

For a task, you need to choose a specific date.

  1. Create a Task Template

    • Go to Settings & Apps > Tasks > Templates.

    • Click ADD New Task Template and add tasks as needed. In this case, it would be recommended to add tasks without recurrence, so that they would be created only once.

    • Name your template (e.g., "Document Collection – Onboarding").

  2. Add Instructions or a Checklist

    • In the task description, provide a short overview of the documents you need.

    • Optionally, add a checklist for specific items (e.g., ID proof, signed contract, tax forms).

  3. Enable Client Portal Access

    • On the task, choose to assign the task to the client portal

  4. Save and Use the Template

    • Create a client and use the previously created task template.

The client will have a task assigned to the client portal where they can upload the needed documents to the task. When the client replies under the task in the client portal, you will get a notification in Uku.
