How to send an invoice in the client's language

TL;DR: Set the client's communication language on their client card, add translations to your products, and Uku will automatically generate invoices in the client's preferred language.

Who can do this

  • Any member with access to Clients and Billing settings

  • The Billing app must be activated for your company account

  • Products must have translations added for each language you want to support

Why send invoices in the client's language?

If your client's communication language differs from yours, sending invoices in their preferred language avoids confusion, speeds up communication, and leaves a professional impression of your firm. Uku's billing solution allows you to configure the invoice language on a per-client basis.

Step 1: Set the client's communication language

  1. Navigate to Clients in the Main Menu.

  2. Open the client card for the client whose invoice language you want to set.

  3. Locate the Communication language field on the client card.

  4. Select the desired language from the dropdown.

  5. Click Save.

Note: The communication language setting on the client card determines the language used for invoices sent to that client.

Step 2: Add translations to your products

Each product used on invoices must have a translation in the client's language.

  1. Navigate to Settings & Apps.

  2. Open the Products section.

  3. Select the product you want to translate.

  4. Click Add translation or open the translation settings.

  5. Enter the product name and description in the target language.

  6. Click Save.

Repeat this for every product that appears on invoices for clients who use a different language.

Step 3: Verify the invoice language

  1. Open the client's profile and navigate to the Billing or Contract section.

  2. Create or preview an invoice for the client.

  3. Confirm that the invoice lines, product names, and descriptions appear in the client's language.

Invoice still not in the client's language?

If you have completed all the steps above but the invoice still displays in the wrong language, this typically happens when invoice lines were added to the client contract before the language translations were set up in your product settings.

To fix this:

  1. Open the client's Contract section.

  2. Remove the existing invoice lines that were added before the translations were configured.

  3. Re-add the same invoice lines. Uku will now pull the correct translated product names.

  4. Preview the invoice to confirm the language is correct.

  5. Click Save.

Important: Any time you add new product translations, you may need to remove and re-add invoice lines on existing contracts for the translations to take effect on those contracts.

Troubleshooting

  • Invoice shows the wrong language despite correct client settings: Check that the invoice lines on the contract were added after the product translations were created. Remove and re-add the invoice lines to pick up the correct translations.

  • Some invoice lines are translated but others are not: Each product must have its own translation. Open Products in Settings & Apps and verify that every product used on the invoice has a translation in the client's language.

  • Communication language dropdown does not show the desired language: The available languages depend on your account's regional settings. Check Settings & Apps to see which languages are configured for your account.

  • New clients default to the wrong language: Set the Communication language on the client card immediately when creating a new client to ensure invoices are generated in the correct language from the start.
