How to submit a vacation, absence, or remote work request?

Submit vacation, absence, or remote work requests in Uku so your team can see who is in the office, working from home, or away.

TL;DR: Submit vacation, absence, or remote work requests from your profile in Uku. Everyone on the team can instantly see who is in the office, working from home, or away.

Who can do this

  • All team members

  • The Workforce app must be activated for vacation and absence requests

  • For remote work entries, Remote work must be enabled in your Calendar settings

Submitting a vacation or absence request

  1. Select Profile from the main menu.

  2. Click Vacations from the submenu.

  3. Click the Request button.

  4. Choose the request type, fill in the required details, and select the correct Approver.

  5. Submit the request.

Request types

  • Vacation -- request time off for vacation.

  • Away -- report sick leave or parental leave.

  • Flextime bonus -- withdraw accumulated overtime.

How leave days are calculated

The Duration column in the request list shows the total number of calendar days from the start date to the end date. This is not the number of leave days deducted from your balance.

Uku automatically excludes the following when calculating consumed leave days:

  • Weekends (Saturday and Sunday) are not counted as leave days.

  • Public holidays that fall within the request period are also excluded.

To see the actual number of consumed leave days, open the individual request.

Example: If you take vacation from April 14 to April 27, Duration shows 14 days. However, only 8 working days are deducted because weekends and public holidays are excluded.

Entering remote work time

  1. Open the Calendar view.

  2. Select Remote work.

  3. In the dialog that appears, indicate whether the remote work lasts the whole day or only during specific hours. You can also add a clarifying note if needed.

  4. Click Save to confirm.

Once saved, the Calendar will display that the employee is working remotely on that day.

Make sure that Remote work is enabled in your Calendar settings. If you do not see the Remote work option, check the Calendar settings to enable it.

Troubleshooting

  • The "Request" button is not visible -- The Workforce app may not be activated. Ask your administrator to enable it in Settings & Apps.

  • "Remote work" option does not appear in the Calendar -- Remote work must be enabled in the Calendar settings. Open the Calendar settings and toggle it on.

  • Request is submitted but not approved -- Vacation and absence requests require manager approval. Check that you selected the correct approver when submitting the request. You can verify the approver and request status in the Vacations section of your profile.

  • Flextime bonus option is unavailable -- The Flextime app may not be activated. Ask your administrator to enable it.
