What to do when an employee has left / How to deactivate a member?

TL;DR: When an employee leaves or becomes temporarily inactive, deactivate their account in Members, reassign their tasks and clients to another team member, and update your subscription member count if needed.

Who can do this

  • Account administrators or managers with access to the Members section

When to deactivate a member

  • An employee leaves the company permanently

  • An employee is temporarily inactive (e.g., extended leave)

  • You want to reduce the number of active users in your subscription package

Steps to deactivate an employee

  1. Open the Members section.

  2. Click the edit icon (pencil) next to the employee's name.

  3. In the member profile view, change the employee status to Inactive.

  4. Click the Deactivate user button.

  5. In the reassignment view, select the team member to whom all of the departing employee's tasks and clients will be transferred.

  6. Click Confirm to complete the deactivation.

Important: When deactivating an employee, you may also need to update the number of active members in your subscription package. Follow this guide to change the number of members.

What happens after deactivation

  • All tasks assigned to the deactivated member are transferred to the selected team member.

  • All client assignments are reassigned to the selected team member.

  • The deactivated member can no longer log in to Uku.

  • Historical data (time entries, completed tasks) is preserved and remains accessible in reports.

Troubleshooting

  • Cannot find the employee in the Members list: Make sure you are viewing Active members, not Inactive. Use the status filter in the Members section to adjust the view.

  • Tasks were not reassigned after deactivation: Verify that you selected a team member during the reassignment step. If the step was skipped, open the Members section, find the inactive member, and manually reassign their remaining tasks.

  • Subscription still charges for the deactivated member: Deactivating a member does not automatically reduce your subscription count. You must manually update the member count in your billing settings. Follow this guide.

  • Need to reactivate a previously deactivated member: Open the Members section, switch the filter to show Inactive members, find the person, and change their status back to Active.
