How to set up and use contract templates

TL;DR: Contract templates let you define standard billing terms once and apply them to one or many clients, eliminating the need to manually create individual contracts for each client.

Who can do this

  • Users with admin or billing permissions

  • Products/services should be created before building templates (see how to add products)

Creating a contract template

  1. Navigate to Settings & Apps and open the Billing app.

  2. Open the Templates view.

  3. Click the Add template button.

  4. Name the template.

  5. Select the invoice period and date.

  6. Add products or services (you can select existing products or create new ones).

  7. Click Save.

Adding a contract template to a single client

  1. Go to the client list and open the client.

  2. Navigate to the Billing view and open the Contracts tab.

  3. Click + Add Contract, then select Choose templates.

  4. Pick a contract template from the list.

  5. Click Save.

Adding a contract template to multiple clients at once

  1. Go to the client list.

  2. Select the clients to whom you want to add a billing template.

  3. Click Contract actions in the action menu.

  4. Select a template from the list.

  5. Enter the start date of the contract.

  6. Click Save.

Important to know

If you modify a contract template, you can apply those changes to all client contracts linked to it. However, if you manually edit an individual client contract, the link between that contract and the template is broken. After that, future template changes will no longer update that client's contract.

  • You can create multiple contracts for a single client.

  • Changes to a template only propagate to client contracts that have not been individually modified.

Troubleshooting

  • Template changes are not reflected in a client's contract -- The link between the template and the client contract was broken because the client contract was edited individually. You must manually update that client's contract or remove it and re-apply the template.

  • No products available when creating a template -- Products must be added under the Billing app in Settings & Apps before they can be included in a template.

  • Contract actions option does not appear in the client list -- Ensure you have selected at least one client using the checkboxes before looking for the Contract actions option.

  • Template not appearing when adding a contract to a client -- Make sure you click Choose templates after clicking + Add Contract, rather than creating a manual contract.
