Who can do this

  • Users with Manager or Admin permissions

  • The Billing app must be activated for your company account

  • Access to the Products section in Uku

Overview

If a service needs to be invoiced every period (monthly, quarterly, or annually), it should be created as a fixed price product. For example, a Bookkeeping service that is charged every single period at the same rate.

Creating a fixed price product

  1. Navigate to the Products section.

  2. Select + Add product to create a new product.

  3. Enter a name for the product (e.g., "Bookkeeping").

  4. Set the pricing type to Fixed.

  5. Enter the fixed price amount for the billing period.

  6. Save the product.

Using placeholders in product descriptions

Several different placeholders can be used to provide more information about the service row on the invoice. When the invoice is created for the client, placeholders are automatically replaced with the correct information (such as the billing period, client name, or service dates).

Tip: Placeholders make your invoices more informative and professional. Use them in the product name or description to automatically display details like the billing period or client name on generated invoices.

Troubleshooting

  • The product does not appear on the invoice: Verify that the product has been added to the client's billing contract and that the contract covers the current billing period.

  • The price on the invoice is incorrect: Check the product configuration in the Products section to ensure the correct fixed price amount is entered.

  • Placeholders are showing as raw text instead of actual values: Make sure you are using the correct placeholder syntax. Placeholders are only replaced when the invoice is generated, not in the product preview.

  • The product is being charged in the wrong period: Review the billing frequency settings on both the product and the client contract to ensure they match (monthly, quarterly, or annually).
