Deleting and archiving products in Uku

TL;DR: Products not used in any contract can be permanently deleted. Products that are part of an existing contract will be archived instead, preserving contract data while removing the product from active use.

Who can do this

  • You need administrator permissions to delete or archive products.

Why delete or archive products?

Deleting or archiving products keeps the product list up-to-date and prevents employees from accidentally selecting an outdated product when creating contracts.

How to delete a product

You can permanently delete a product only if it is not included in any contract.

  1. Open Settings & Apps from the main menu.

  2. Select the Billing app.

  3. Select the Product tab.

  4. Click the product you want to delete.

  5. Confirm the deletion when Uku prompts you. The product will be permanently removed from the list.

How to archive a product

If a product is included in one or more contracts, Uku will not allow you to delete it. You do not need to remove the product from each contract individually. Instead, Uku will offer to archive it, preserving the information in existing contracts.

  1. Follow steps 1 through 4 from the deletion process above.

  2. When Uku warns that the product is in use and cannot be deleted, click Archive.

Tip: Archiving is non-destructive. The product's data remains intact in all existing contracts and historical records.

Restoring archived products

Archived products can be restored at any time. The restored product will reappear in the active product list and be available for use in new contracts.

Troubleshooting

  • Cannot delete a product: The product is currently used in one or more contracts. Use Archive instead to remove it from active use while keeping contract data intact.

  • The delete or archive option is not available: You may not have administrator permissions. Contact your account administrator for access.

  • Archived product is not visible anywhere: Archived products are hidden from the active product list. Check the archive view within the Billing app's Product section to find and restore them.

  • Restored product does not appear in contract templates: After restoring a product, refresh the page. If the product still does not appear, verify that it is configured correctly for the contract type you are creating.
