Deleting and archiving a custom field

TL;DR: Custom fields that are not connected to any task can be permanently deleted. Custom fields that are in use on tasks must be archived instead, which preserves historical data in reports while removing the field from active use.

Who can do this

  • You need administrator permissions to delete or archive custom fields.

Why delete or archive custom fields?

Deleting or archiving custom fields keeps the list of available custom fields up-to-date and prevents employees from selecting an outdated or incorrect custom field when working on tasks.

How to delete a custom field

You can permanently delete a custom field only if it is not connected to any task.

  1. Open Settings & Apps from the main menu.

  2. Select the Tasks app.

  3. Select the Custom fields tab.

  4. Click the edit icon (pencil) next to the custom field you want to delete.

  5. Select Delete.

  6. Confirm the deletion when Uku prompts you. The custom field will be permanently removed from the list.

How to archive a custom field

If a custom field is connected to one or more tasks, Uku will not allow you to delete it. Instead, you can archive it. Archived custom fields are removed from active use but their data is preserved in reports.

  1. Follow steps 1 through 5 from the deletion process above.

  2. When Uku warns that the custom field is in use and cannot be deleted, click Archive.

Tip: Archiving is non-destructive. The custom field's data remains intact in all existing reports and task records.

Viewing and restoring archived custom fields

  1. Navigate to Settings & Apps > Tasks > Custom fields.

  2. Click View archive to see all archived custom fields.

  3. To restore a custom field, select it from the archive. The restored custom field will reappear in the active custom fields list.

Troubleshooting

  • The Delete option is not available: You may not have administrator permissions. Contact your account administrator.

  • Uku says the custom field cannot be deleted: The field is connected to one or more tasks. Use Archive instead to remove it from active use while preserving the data.

  • Cannot find an archived custom field: Make sure you are viewing the archive by clicking View archive under the Custom fields tab in the Tasks app settings.

  • Restored custom field is not appearing in task forms: After restoring, the custom field returns to the active list. If it still does not appear, try refreshing the page or verifying that the custom field is enabled for the relevant task types.
