How to mark extra work?

Separate regular tasks from extra work.

If you do more work than planned or agreed on in the contract, you can mark it as extra work in Uku. Additional work is visible in the report to distinguish how much and which tasks have been done. This way, you can ask for an evidence-based extra fee for the work done.

NOTE: "Extra work" can only be added to an entire assignment. If you have over-run a task, mark the extra work part as a new task.

Marking on task as extra work

Open the task on the dashboard or calendar you want to count as extra work and click on the '+' icon.

Marking many tasks as extra work together

  1. Click on the two-tick icon on the dashboard.

  2. Select the tasks you want to mark as extra work and click on the "+" icon in the top right corner.

Marking extra work in the client's task plan

If there is a task in your client's task plan that you will be doing for them for an extra fee, mark it as extra work already in the plan. That way, the employee doesn't have to do it manually each time.

Open the main menu and select "Clients." Select the client whose tasks you want to mark as extra work and click on the client's name.

In the client's profile, select 'Plan' from the top menu, and from there, select the task you want to mark as extra work. A purple header on the task means that it is a recurring task.

To mark a task as extra work, click on the "+" icon in the top right corner, similar to how you would do it on the dashboard. Make sure you save the recurring task.

Marking a template task as an extra task

Select "Settings & Apps" from the main menu and click on the "Tasks" box.

From the top menu, select "Templates" and click on the template where you want to create an extra work task or change an existing task to an extra work task.

Select the task or enter a new task and mark it as extra work. Make sure you save the change. The filters allow you to see the extra work tasks in the dashboard view or the report.

Extra work on the dashboard

Click on the filter icon in the top right corner.

Click on the '+' icon and select 'Extra work.' Now only the tasks marked as extra work will appear on your dashboard.

Extra work in the report

In the report, you can see the extra work the same way as on the dashboard. Click on the "+" icon and select the extra work filter. The time spent on the tasks marked as extra work will now appear in the report.

Note: Extra work is marked in yellow.
