How to mark extra work?
TL;DR: Mark tasks as extra work using the + icon on any task to separate work beyond the agreed contract scope. Extra work is visible in reports and on the dashboard so you can bill clients for additional services with clear evidence.
Who can do this
Any team member can mark individual tasks as extra work
Managers or admins can mark extra work in client task plans and task templates
Important: "Extra work" can only be applied to an entire task. If you have exceeded the planned time on just part of a task, create a separate task for the extra work portion.
Why mark extra work?
If you do more work than planned or agreed on in the contract, you can mark it as extra work in Uku. Extra work is visible in reports, allowing you to distinguish how much additional work was done and on which tasks. This provides evidence-based justification for billing clients an extra fee.
Marking a single task as extra work
Open the task from the Dashboard or Calendar.
Click the + icon on the task to mark it as extra work.
Marking multiple tasks as extra work at once
Click the multi-select (two-tick) icon on the Dashboard.
Select the tasks you want to mark as extra work.
Click the + icon in the action bar to apply the extra work flag to all selected tasks.
Marking extra work in a client's task plan
If a task in your client's task plan will always be extra work, mark it in the plan so employees do not have to do it manually each time.
Open the main menu and select Clients.
Select the client whose tasks you want to mark as extra work and click on the client's name.
In the client's profile, select Plan from the navigation tabs.
Open the task you want to mark as extra work. A purple header indicates a recurring task.
Click the + icon on the task to mark it as extra work.
Save the recurring task.
Marking a template task as extra work
Select Settings & Apps from the main menu.
Click the Tasks box.
Select Templates from the navigation tabs.
Click on the template where you want to create or modify an extra work task.
Select the task (or enter a new task) and click the + icon to mark it as extra work.
Save the change.
Viewing extra work on the dashboard
Click the filter icon on the Dashboard.
Click the + icon in the filter panel and select Extra work.
Only tasks marked as extra work will now appear on your dashboard.
Viewing extra work in reports
Open Report from the main menu.
Click the + icon in the filter area and select the Extra work filter.
The time spent on tasks marked as extra work will now appear in the report.
Extra work entries are highlighted in yellow throughout Uku for quick visual identification.
Troubleshooting
The + icon is not visible on a task: Make sure you have opened the task detail view. The extra work toggle is only available inside the task, not from the task list row itself.
Extra work does not appear in the report: Verify that the Extra work filter is active in the report. Without this filter enabled, extra work time is blended into the overall totals.
Recurring tasks lose the extra work flag: If you marked extra work on a single occurrence rather than in the client's Plan, the flag will not carry forward to future occurrences. Mark it in the plan or template to make it persistent.
Need to mark only part of a task as extra work: Uku applies extra work to the entire task. Split the task into two separate tasks -- one for the contracted scope and one for the extra work portion.
