Uku Dashboard – how to use and set it up

The Dashboard displays a personal daily task view that can be filtered, sorted, and grouped.

Uku’s Dashboard offers each user a personal work view where all tasks for the day are shown. Tasks can be filtered, sorted, and grouped in different ways. Below is an overview of the Dashboard views, planning options, and task management features to help keep your workday structured and clear.

Dashboard content and layout

Uku Dashboard opens automatically for every user after login. The dashboard shows only tasks assigned to that specific user, sorted by due date – starting with unfinished tasks.

In the dashboard header:

  • Planner – a weekly view where tasks can be rescheduled by dragging and dropping.

  • Search – a tool for finding specific tasks or client-related information.

Planner

The Planner opens a calendar view for the current week. Tasks can be rescheduled by dragging them to the desired day of the week, and you can also view plans for previous or upcoming weeks.

Click the “Today” button to instantly return to the current day’s view.

Search

When you enter a search term without pressing Enter, the system searches within client, account, and topic names.

If you press Enter, Uku searches the following fields:

  • Task title and description

  • Checklist

  • Client name

  • Topic name

  • Task ID and recurrence ID

Dashboard views

There are three different views on the Dashboard:

  • Tasks – the default view showing today’s tasks

  • Later – view for postponed tasks (see how to postpone tasks)

  • Catch Up – communication overview (comments, emails, client portal messages)


    "Catch up" gives you an overview of tasks where another team member has added a comment, a client has replied to your email, or a client has responded via the client portal.
    If there are new messages, a green dot will notify you.


    Opened tasks remain in the "Catch up – Seen" section until they are marked as done.


    Dashboard filters and sorting

Filter and sorting tools are located in the upper right corner of the Dashboard.

  • Filter icon: reveals the hidden filter bar and save tools

  • Sort icon: allows sorting tasks by:

    • Start time

    • Deadline

    • Client

    • Topic

    • Status (New, In Progress, Done)


Dashboard filters

Filters at the top of the Dashboard help you find tasks more precisely:

  • Date filter – choose a suitable period

  • Task status – All, To Do, Overdue, Delayed, Done, Archived

  • Topic – filter by topic

  • User – select one or more users

  • Client – select one or more clients

Search checks the following fields:

  • Task title and description

  • Checklist

  • Client name

  • Topic name

  • Task ID and recurrence ID

Additional filters and saving filters

Additional filters and saving tools are on the right side.

You can add filters using the “+” icon and remove them with the “x”.


Save filters to find the needed information even faster later on.

Account – tasks linked to the selected company.
Important – tasks marked as important.
Extra Work – tasks marked as additional work.
Recurring Task – tasks set as recurring.
I Follow – tasks where you’ve been added as a follower. [Read more]
Commented – tasks that have comments added. [Read more]
Tracked Time – tasks with time tracked. [Read more]
Client Portal – tasks sent to the Client Portal. [Read more]

Estimated – tasks with a time estimate added. [Read more]
Delegated to – tasks that have been delegated to you.
Delegated by – tasks filtered by delegator.
Project – tasks linked to a specific project.

Task display limits

If no date filter is selected, Uku will display tasks for the current day by default.

To view older tasks, select tasks created 45, 90, or 180 days ago.


Multiselect

Show multiselect – adds checkboxes in front of client names. This allows you to perform bulk actions like deleting, archiving, delegating, postponing, or marking tasks as done.

Progress Bar


At the end of the taskbar, a progress bar is displayed for the selected period:

  • Estimated Time

  • Number of Overdue Tasks

  • Tasks To Do

  • Tasks In Progress

Task Details

You can make the Dashboard more informative by showing topic and checklist information directly on the task bar.

Additionally, you can add custom fields to the Dashboard.

In case the due date of the task is today, the date is orange.

On the task row we show email automations. Last automation status will be taken.

  • Green - successful, email was sent

  • Red - sending email failed

  • Grey - there is automation set up for the task

Grouping

Tasks can be grouped in the following ways:

  • Don't group – tasks are sorted by start date

  • Group by client – only client names are shown; clicking a client reveals their tasks

  • Group by project – tasks are grouped by projects

  • Group by topic – groups tasks by topic

  • Group by status – groups into Undone, In Progress, and Completed

  • Group by user – groups tasks by assigned user

  • Group by client group – groups by client groups

  • Group by period – groups by day, week, and month

  • Group by date – groups tasks with the same start date; earlier tasks are shown first
