Uku Dashboard – how to use and set it up

TL;DR: The Dashboard is your personal daily task view in Uku. It shows tasks assigned to you, sorted by due date, and can be filtered, sorted, grouped, and customized to fit your workflow.

Who can do this

  • All Uku users see their own personal Dashboard after logging in

  • Owner and Admin users can view other members' tasks by using the User filter

Dashboard content and layout

The Dashboard opens automatically after login. It shows only tasks assigned to your user account, sorted by due date, starting with unfinished tasks.

Dashboard header tools

  • Planner — Opens a weekly calendar view where tasks can be rescheduled by dragging them to a different day. Use the navigation arrows to view previous or upcoming weeks. Click Today to return to the current day.

  • Search — Finds tasks and client-related information. Typing without pressing Enter searches within client, account, and topic names. Pressing Enter performs a full search across:

    • Task title and description

    • Checklist

    • Client name

    • Topic name

    • Task ID and recurrence ID

Dashboard views

The Dashboard has three views:

  • Tasks — The default view showing tasks for the current day.

  • Later — Shows tasks that have been postponed (see how to postpone tasks).

  • Catch Up — A communication overview showing comments, emails, and client portal messages.

Catch Up view details

The Catch Up view shows tasks where another team member has added a comment, a client has replied to your email, or a client has responded via the client portal. A green dot indicator appears when there are new messages.

Opened tasks remain in the Catch Up — Seen section until they are marked as done.

Dashboard filters and sorting

Filter and sort controls

  • Filter icon — Reveals the filter bar and saved filter tools.

  • Sort icon — Allows sorting tasks by:

    • Start date

    • Due date

    • Client

    • Topic

    • Status (New, In Progress, Done)

    • Task title

    • Reverse

Available filters

  • Date filter — Choose a date range for the tasks displayed.

  • Task status — Filter by All, To Do, Overdue, Delayed, Done, or Archived.

  • Topic — Filter by topic.

  • User — Select one or more users.

  • Client — Select one or more clients.

  • Search — Searches across task title, description, checklist, client name, topic name, task ID, and recurrence ID.

Additional filters and saving filters

You can add more filters using the + icon and remove them with the x icon.

Extra filter options

  • Account — Tasks linked to a selected company.

  • Important — Tasks marked as important.

  • Extra Work — Tasks marked as additional work.

  • Recurring Task — Tasks set as recurring.

  • I Follow — Tasks where you have been added as a follower.

  • Commented — Tasks that have comments added.

  • Tracked Time — Tasks with time tracked.

  • Client Portal — Tasks sent to the Client Portal.

  • Estimated — Tasks with a time estimate added.

  • Delegated to — Tasks that have been delegated to you.

  • Delegated by — Tasks filtered by delegator.

  • Project — Tasks linked to a specific project.

Task tools

Task display limits

If no date filter is selected, Uku displays tasks for the current day by default. To view older tasks, select a range: 45, 90, or 180 days ago, 1 year ago, or All (maximum 2 years ago).

Multiselect

Show multiselect adds checkboxes next to client names, enabling bulk actions such as deleting, archiving, delegating, postponing, or marking tasks as done.

Progress bar

A progress bar is displayed for the selected period, showing:

  • Estimated Time

  • Number of Overdue Tasks

  • Tasks To Do

  • Tasks In Progress

Task details

You can make the Dashboard more informative by showing topic and checklist information directly on the task row. Additionally, you can add custom fields to the Dashboard (read how to create custom fields).

Visual indicators on task rows

  • Tasks due today display their date in orange.

  • Email automation status indicators appear on the task row:

    • Green — Email was sent successfully.

    • Red — Sending email failed.

    • Grey — An automation is set up for the task.

Grouping

Tasks can be grouped in the following ways:

  • Don't group — Tasks are sorted by start date.

  • Group by client — Only client names are shown; clicking a client reveals their tasks.

  • Group by project — Tasks are grouped by project.

  • Group by topic — Groups tasks by topic.

  • Group by status — Groups into Undone, In Progress, and Completed.

  • Group by user — Groups tasks by assigned user.

  • Group by client group — Groups by client groups.

  • Group by period — Groups by day, week, and month.

  • Group by date — Groups tasks with the same start date; earlier tasks appear first.

Troubleshooting

  • Dashboard appears empty after login: Verify that the date filter is set to today or a broader range. If all tasks are completed or postponed, the default view may show no tasks.

  • Filters are not persisting between sessions: You need to save your filter configuration. Click the Filter icon, configure your filters, then save them. Read how to save Dashboard.

  • Cannot see another team member's tasks: The Dashboard shows only your own tasks by default. Use the User filter to view tasks assigned to other members (requires Owner or Admin permissions).

  • Catch Up shows no messages even though comments were added: Ensure you are a follower of the task or that the comment was directed at you. Only tasks with activity relevant to your account appear in Catch Up.
