New
Clients — Create client custom fields with type password that do not show the password on the client card straight away; the member needs to click to see the information. Client password information can be updated by client import.
Members — Add external IDs for members, which are also added to the vacation Excel. This is useful in case the company keeps track of vacations in any other system and uses some kind of ID for the member.
Members – Download the member list with member field information. Search members by using filters.
Task — Choose an end date for a recurring task. Make a task appear only during a specific time window, e.g., monthly from January 2024 to September 2024.
Report — In the Tasks report, add a column for the client’s primary member to see which colleague you need to contact for work-related questions.
Emails — Send/forward emails to Uku, which will be created as tasks. You don’t have to “add a new task” and copy-paste information and details so they won’t get lost.
Emails — Allow the system to receive replies to emails sent from Uku. All client communication will then be visible on the client card.
Improvements
Tasks – Uku shows the last 3 tasks you have been working on.
Emails – When deleting a connected email or deactivating an email app, then Uku warns that all automation that have been set up with that email will be deleted.
New Elite plan features
Actionable audit log
Uku’s new actionable audit log puts you in control by tracking every change made in your Uku system. You’ll always know who did what, when, and why. From restoring deleted tasks to tracking data edits, the audit log ensures nothing gets overlooked.
Workforce management
The workforce app consists of different functionalities: Member fields, Flextime and Office Attendance tracking.
With member fields, you can track essential information such as contact details, departments, skills, certifications, performance metrics, contract start dates, software proficiency, and assigned equipment.
Flextime is part of this app
The office attendance tracking feature is perfect for managing remote, in-office, or hybrid teams. It works through IP addresses, and the feature automatically identifies whether employees work remotely or in the office based on their location.
Document management
Link your Uku account to your document management system, such as Google Drive, OneDrive, or SharePoint.
Stop uploading the same files to several different places repeatedly. Just upload once in Uku, under the task where it is needed for work. It will automatically be uploaded to your Document Repository.
Your documents belong to you. It is your company’s responsibility to store them for some time, and you do not want to depend on software for that. Sure – Uku will be around for a long time, but ideologically, these documents belong to your company’s repository. Now, you can set that up.
As part of the feature, you can:
Have Uku create and maintain the folder structure: client -> year -> month
Save all your docs to only your repository, only Uku cloud or both: your repository with a backup in Uku cloud.
Decide which of the uploaded docs you want to store and what not.
You have now options, no obligations or limitations.
Budgeting
Uku’s budgeting feature lets you set specific budgets for clients, topics or projects to manage and monitor spending against agreed-upon limits.
Uku sends users alerts in the app as notifications, on the client’s sidebar, under the task, or via email. These alerts notify you before exceeding budgets, allowing adjustments to keep costs aligned.
Example: Your budget for a client’s monthly bookkeeping is $1000, which means a certain number of working hours.
According to the billable rates you set for each employee or company-wide, Uku calculates when you’re starting to reach the limit you’ve set. Setting rates for different services (such as consulting or bookkeeping) provides a detailed view of budget usage based on actual service costs.
Public API
An API allows software to communicate with each other. Uku’s new API provides a standardized way for your firm’s existing systems to interact with Uku.
Use data collected in Uku and integrate it with your financial reporting tool to make better decisions.
Client portal custom menu
You are in charge of the bookmarks/menu items that your clients see in the client portal. Add company-wide, generic links under the Client Portal app ‘Menu links’ section or specify for each client on the client profile. For example, links from the company webpage referring to the services offered or FAQ.
You probably have pages that you want to communicate to all clients or specific per-client pages. It would be ideal if all clients could find the important information as quick links in the portal. All in one place: my tasks and my additional information: links to documents, links to questionnaires/surveys, links to a list of services/price lists, etc.
Now you can set all that up as client portal “menu links”.
