How to send out invoices from your own domain

TL;DR: Configure an email server in the Billing app settings so invoices are sent from your company's own email domain instead of a generic address.

Who can do this

  • Account administrators with access to Settings & Apps

  • Users with the Billing app enabled

  • You will need your email server credentials (host, port, username, password)

Set up your email server

  1. Open Settings & Apps and select the Billing app.

  2. Navigate to the Settings tab.

  3. Locate the Email server section.

  4. Choose your email service provider:

    • Google Gmail

    • Microsoft Outlook

    • Other

  5. Fill in the required fields:

    • Host

    • Port

    • Security

    • Sender name

    • Username

    • Password

  6. Select Send a test email to confirm the setup works.

  7. Select Save.

  8. Enter the email address to which all client invoice copies will be sent.

Tip: Always send a test email before saving to ensure your server credentials are correct and emails can be delivered.

Troubleshooting

Q: The test email fails to send.

A: Double-check the Host, Port, and Security settings. For Gmail, ensure "Less secure app access" or an App Password is configured. For Outlook, verify that SMTP relay is allowed for your account.

Q: Invoices are still being sent from the default address after setup.

A: Confirm you selected Save after entering the email server details. Reopen the Billing settings to verify the server configuration is persisted.

Q: Clients report that invoice emails are landing in spam.

A: Set up SPF, DKIM, and DMARC DNS records for your domain to improve email deliverability. Contact your email provider or domain administrator for guidance.

Q: I do not know my email server credentials.

A: Contact your email provider or IT administrator. For Gmail, use smtp.gmail.com on port 587 with TLS. For Outlook, use smtp.office365.com on port 587 with STARTTLS.
