How to manage the content of the invoices that you send out?

Invoice templates overview

Under the Billing app you can manage your invoice templates. Templates let you define the subject, language, and content that appear in the emails and PDF documents sent to your clients. When Uku sends an invoice, it selects the template that matches the client's language. If no matching template exists, the English template is used.

How to edit an invoice template

  1. Open Settings & Apps from the main menu.

  2. Select the Billing app.

  3. Navigate to the invoice templates section.

  4. Click on the template you want to edit to open it.

Template fields

Language

Select the language in which you are composing the template. When sending an invoice, Uku automatically uses the template that matches the client's language setting. If there is no template in the client's language, the English template is sent.

Name

Enter the name (subject line) of the email or document that will be created.

Content

The content field has two purposes depending on the delivery method:

  • Email -- the text that is added to the body of the email sent to the client

  • PDF -- the text that is added to the PDF document attached to the email

Make sure to create templates for each language your clients use. If a client's language does not have a matching template, Uku will fall back to the English template.

Troubleshooting

  • Client received the invoice in the wrong language: Check the client's language setting in their profile. Uku selects the template based on the client's language, not the company's default language.

  • Invoice email body is empty: Open the template and verify that the Content field for email has been filled in. A template with an empty content field will send a blank email body.

  • PDF content does not match the email content: The email and PDF content fields are configured separately within the same template. Update both fields if you want consistent messaging.
