Lock time entries
TL;DR: Prevent team members from editing past time entries by enabling the time lock setting. Admins and Owners can still modify locked entries when corrections are needed.
Who can do this
Owner or Admin can enable and configure time entry locking
The lock applies to members with the User role only
Members with Admin or Owner roles can always edit locked time entries
How to lock time entries
Open Settings and select the Company profile.
Navigate to the Settings tab.
Enable the Lock time records setting.
Choose whether time entries are locked on a weekly or monthly basis.
Important: Locking time entries applies to Users only. Members with Admin or Owner rights can still edit locked time entries.
How to change locked time entries
If a correction is needed for a locked time entry, a member with Admin or Owner rights must make the change. Since admins cannot create a time entry on behalf of another person (only correct existing ones), follow this process:
The member creates a 1-minute time entry on the relevant task for the current day.
The member adds a comment to this entry specifying the correct time period.
The member adds an Admin to the task so they can edit it.
The Admin changes the entry to the correct date and time.
The Admin adds a comment to the entry confirming the correction, then removes themselves from the task.
Troubleshooting
A team member cannot edit their time entry β The entry is likely in a locked period. Ask an Admin or Owner to make the correction using the process described above.
The lock setting is not appearing in company settings β Verify you are logged in with an Admin or Owner account. Only these roles can access and configure company-level settings.
An Admin cannot create a time entry for another member β This is by design. Admins can only correct existing entries, not create new ones on behalf of others. The member must first create a placeholder entry.
Time entries are locking too soon β Check whether the lock frequency is set to weekly or monthly. Switch to monthly if weekly locking is too restrictive for your team's workflow.
