How to change the member(s) assigned to the client?

Add, replace, or remove team members from clients in bulk. Control how changes affect existing tasks, planned tasks, and the primary user role.

How to change the member(s) assigned to the client

TL;DR: Use bulk actions on the client list to add, replace, or remove team members across multiple clients at once. You can control how each change affects existing tasks, planned tasks, and the primary user role.

Overview

Bulk actions on the client list let you manage team member assignments across your entire client base or a selected group of clients. The three bulk operations available are:

  • Add a member to clients

  • Replace one member with another

  • Remove a member from clients

How to activate bulk actions

  1. Navigate to the Client list.

  2. Select the clients you want to modify using the checkboxes next to each client name.

  3. The bulk actions toolbar appears after selecting clients.

Tip: Apply filters such as Member, Default member, or Client group before selecting clients. Additional filter options are available under the + icon in the filter bar.

Adding a member

  1. Select the target clients using the checkboxes.

  2. Choose Add member from the bulk actions toolbar.

  3. Select the team member to add.

  4. Configure the options described below.

  5. Confirm the action.

Role assignment

Assign the member a role that determines their permissions for the client:

  • Admin - All activities related to the client are allowed.

  • Member - Cannot change the client's plan, information, or modify/delete notes. You cannot reduce a member's rights if they already have admin rights under a client.

Additional options when adding

  • Set as the primary user - The member becomes the default task creator when creating a work plan or adding a template.

  • Assign to incomplete tasks:

    • Added to undone (including delayed) individual tasks

    • Added to undone (including delayed) recurring tasks

    • Added to individually created tasks

    • Not added to repetitively created tasks

  • Assign to plan tasks:

    • Added to recurring tasks of the current month

    • Added to scheduled tasks

    • Not added to undone (including late) tasks

Replacing a member

  1. Select the target clients using the checkboxes.

  2. Choose Replace member from the bulk actions toolbar.

  3. Select the member to remove and the replacement member.

  4. Configure the options described below.

  5. Confirm the action.

Options when replacing

  • Set as the primary user:

    • The new member becomes the default task creator for work plans and templates

    • The replaced member is removed from the primary user role

    • The replaced member is removed from the client card (except owners and admins)

  • Reassign incomplete tasks:

    • The replaced member is swapped out on late and unfinished one-time and recurring tasks

    • The replaced member is removed from the primary user role (if applicable)

    • The replaced member is removed from the client card (except owners and admins)

  • Reassign plan tasks:

    • The replaced member is swapped out on plan tasks

    • The replaced member is swapped out on current month and future recurring tasks

    • The replaced member is removed from the primary user role (if applicable)

    • The replaced member is removed from the client card (except owners and primary users)

Note: If you do not select any of the options above, the new member is simply added to the client card without affecting existing task assignments.

Removing a member

  1. Select the target clients using the checkboxes.

  2. Choose Remove member from the bulk actions toolbar.

  3. Select the member to remove.

  4. Configure the options described below.

  5. Confirm the action.

Options when removing

  • Remove from new tasks:

    • Removed from delayed recurring and individual tasks

    • Removed from future individual tasks

    • Removed from future planned tasks of the current month

  • Remove from plan tasks:

    • Removed from all scheduled tasks

Troubleshooting

  • Cannot change a member's role from Admin to Member: You cannot reduce permissions for a user who already holds Admin rights on a client. Remove the member first, then re-add them with the Member role.

  • Replaced member still appears on some tasks: The replacement only affects task types you selected in the options. Review which options you chose and run the operation again with the missing options if needed.

  • Bulk action toolbar does not appear: Ensure you have selected at least one client using the checkboxes. If checkboxes are not visible, verify that you have the required permissions to manage client assignments.

  • New member not appearing on planned tasks: When using Assign to incomplete tasks, the member is not added to repetitively created tasks. Use Assign to plan tasks instead to cover scheduled and recurring tasks.
