Getting started with e-conomic

TL;DR: Integrate Uku with e-conomic to import clients, products, and classifiers into Uku, and export generated invoices back to e-conomic. The setup takes just a few clicks.

Who can do this

  • Users with Admin rights in Uku

  • Users with access to manage apps in their e-conomic agreement

After connecting Uku to e-conomic, you will be able to:

  • Import clients, products, and classifiers from e-conomic to Uku (both adding new records and updating existing ones)

  • Use Uku's full feature set:

    • Workflow and task management

    • Time tracking

    • Reports

    • Monitoring

    • Billing

  • Generate invoices in Uku and export them to e-conomic

Setting up the connection

  1. Open Settings & Apps from the main navigation menu.

  2. Select e-conomic integration.

  3. Select Activate to enable the app.

If you have not activated the billing app yet, you will be asked whether you want to enable it now. It is strongly recommended to do so, as it lets you get the most out of Uku.

  4. Select the Import tab.

  5. Select Get agreement ID. This opens e-conomic in a new browser tab.

  6. In e-conomic, you will be asked whether to add Uku to your agreement, along with a list of data Uku will access. Select Add app to confirm.

  7. After Uku has been added, the agreement ID is displayed. Copy the agreement ID. (You can also find it in e-conomic under All settings > Apps.) Return to the e-conomic app in Uku, paste the ID into the Agreement ID field in step 2 of the Import tab, and select Connect.

  8. Uku fetches your clients from e-conomic and presents a list. Select the clients you want to import, then select Confirm.

  9. After a successful import, a summary popup is displayed. Select View clients to review the results of the import.

Imported data

After a successful import from e-conomic, the following data will be available in Uku:

  • Clients

  • e-conomic custom fields on each client card:

    • e-conomic layout number

    • e-conomic payment terms

    • e-conomic VAT zone number

  • Layout templates -- listed in the e-conomic app under the Settings tab

  • Products, product codes, and units -- found in Apps & Settings > Billing app > Product tab

Updating data

Client sync between Uku and e-conomic is one-way: from e-conomic to Uku. Changes made in Uku are not pushed back to e-conomic.

If you have added new clients in e-conomic or updated existing ones, you can update your client base in Uku:

  1. Open the e-conomic app and select the Import tab, then select Start import.

  2. Uku fetches your clients and shows a list of new and existing records. Select which clients to add or update, then select Confirm.

  3. After a successful import, a summary popup is displayed. Select View clients to review the results.

Troubleshooting

The "Get agreement ID" button does not open e-conomic.

Check that your browser allows pop-ups for Uku. If the new tab is blocked, allow pop-ups in your browser settings and try again.

The agreement ID is rejected when I paste it.

Ensure you are copying the complete agreement ID without extra spaces. Also verify that Uku has been successfully added as an app in your e-conomic agreement under All settings > Apps.

Some clients are missing after import.

Only clients you selected during the import step are brought into Uku. Run the import again by selecting Start import on the Import tab, and make sure the missing clients are checked before selecting Confirm.

Client data in Uku is outdated compared to e-conomic.

The sync is one-way (e-conomic to Uku) and does not happen automatically. Open the e-conomic app, select the Import tab, and select Start import to pull the latest data.
