How to keep your Dashboard clean

Remove outdated and completed tasks from your Dashboard by archiving or deleting them. Archiving preserves tasks for future reference, while deleting removes them permanently.

Who can do this

  • All Uku users can archive and delete their own tasks

  • Tasks can only be deleted if they have a single assignee

Archiving tasks

Archiving removes tasks from the active Dashboard view but keeps them accessible through filters.

  1. On the Dashboard, select the tasks you want to archive.

  2. Click the three-dot menu and choose Archive tasks.

Finding archived tasks

If you need to find or review archived tasks later:

  1. Open the filter options on the Dashboard or in Report.

  2. Set the time period to the relevant date range.

  3. Set the task status filter to Archived.

Viewing expired tasks

To browse older tasks that have passed their due date:

  1. Click the Grouping icon on the Dashboard.

  2. Select Show history.

  3. Choose the period for how far back you want to see tasks.

Deleting tasks

Warning: Destroyed tasks cannot be recovered. Only delete tasks you are certain you no longer need.

  1. On the Dashboard, select the tasks you want to remove permanently.

  2. Click the three-dot menu and choose Delete task.

  3. A confirmation warning will appear. Click Destroy to permanently remove the tasks.

Tasks can only be deleted if there is a single assignee. If a task has multiple assignees, you must remove the extra assignees before deleting.

Troubleshooting

  • Dashboard is still cluttered after archiving: Make sure the tasks were successfully archived. Refresh the page and check that the task status filter is not set to show archived tasks alongside active ones.

  • "Delete task" option is not available: The task likely has multiple assignees. Open the task, remove additional assignees so only one remains, and then try deleting again.

  • Cannot find a task you archived earlier: Open the filter options and set the task status to Archived. Also ensure the date range covers the period when the task was active.

  • Old tasks keep reappearing on the Dashboard: These may be recurring tasks that were not completed before their next recurrence was generated. Mark the current occurrence as completed or archive it to prevent clutter.
