Member groups

  • Company Admins and the Company Owner create, rename, and delete groups, and manage their members and rights.
  • Company Members see groups they belong to in filters and on their own profile, but cannot edit group membership.
  • Team leads are members marked as the lead of a group. With the right team-level rights, a team lead can approve their team’s vacations and run reports scoped to the team.

Path: Members > Groups tab.

The Groups tab lists every group with its name and member count. Click a group to open the Edit group dialog.

  1. On the Groups tab, click Add group.
  2. Enter a Name (for example, Annual reports team, Tallinn office, Senior accountants).
  3. Click Add under Members and select people to include — pick one or many at once.
  4. Optionally click the star icon next to a member’s name to mark them as team lead. The star turns gold; click again to remove.
  5. Click Save.

The group appears in the Groups tab and becomes available everywhere member-group filters are shown.

  1. Open the group from the Groups tab.
  2. Edit the Name, add or remove Members (close the chip with the ×), or change the team lead with the star icon.
  3. Switch to the Rights tab to grant team-level rights such as Confirm vacations (lets the team lead approve vacation requests for team members).
  4. Click Save.

System groups (groups created automatically by Uku for built-in segmentation) cannot be renamed or deleted — the name field is disabled and the Members list is read-only. You can still grant rights to them.

You can also assign group membership when editing the member directly:

  1. Members > click the member’s name.
  2. In the Edit member dialog, open the Select groups dropdown.
  3. Pick one or more groups.
  4. Save.

Use this path when a new hire belongs to multiple groups — faster than opening each group individually.

  • Filtering tasks and dashboards — most task views have a member-group filter. Pick a group to see only that team’s work.
  • Reports — most reports in Reports and BI Analytics let you scope by member group, so a team lead can pull a report for their team without seeing the whole company’s data.
  • Bulk assigning members to clients — see Bulk assign clients to a member for assigning whole teams to a set of clients.
  • Team-level rights — granting Confirm vacations to a group lets the team lead approve vacation requests for that team without making them a Company Admin. See the Rights tab inside the group dialog.
  • Audience for communications — picking a group when sharing a workflow or sending a notification targets just that team.
  1. Open the group on the Groups tab.
  2. Click the delete icon in the dialog and confirm.

Deleting a group does not delete its members — they remain in the company. Filters and saved views that referenced the deleted group will fall back to “All members” on the next open.

System groups cannot be deleted.

You need Company Admin or Company Owner privileges. Open Members, click the edit icon next to your name, and check whether the Administrator checkbox is set — if not, ask a Company Admin to grant it.

Inactive members are hidden from group counts on the Groups tab. Switch the Status filter on the Members tab to All or Inactive to see whether the missing person was deactivated.

Two checks: open the group and confirm the person is marked with the gold star as team lead, and open the Rights tab inside the group to confirm Confirm vacations is granted. Without the right, even a team lead cannot approve.

A system group can’t be renamed or its members removed

System groups are managed automatically by Uku and protected from edits. You can still grant rights to them, but the name and roster are fixed.

Saved filters and bookmarks store the group’s ID. If the group was renamed, the filter still works; if the group was deleted, the filter falls back to “All members”. Re-create the group with the same name and re-apply it to your saved filter.
