Suppliers — Manage Vendor Relationships in Uku

  • Company Owners and Company Admins can enable the Suppliers app, create supplier types, and add, edit, or delete supplier records.
  • Company Members can view the supplier list and individual supplier profiles when Suppliers is enabled.

Suppliers requires a Team or Elite plan. On the Solo plan the app card is still listed in Settings & Apps, but it cannot be activated — Uku shows an upgrade prompt instead. If your company moves to Solo, the app is switched off automatically. See Settings & Apps overview for the full app-by-plan list.

Only a Company Owner or Company Admin can enable the app. If you are a Company Member, ask one of them to turn it on for your company account.

  1. Go to Settings & Apps from the main navigation.
  2. Find the Suppliers app card.
  3. Click to open it and activate it for your company account.

Once enabled, Suppliers appears in your main navigation sidebar.

Supplier types organize your suppliers into categories — for example “Vendors”, “Partners”, or “Subcontractors”. Each type has its own set of custom fields so you can track different information for different kinds of suppliers.

  1. Open the Suppliers app settings (via Settings & Apps or the gear icon in the Suppliers view).
  2. Go to the Types tab.
  3. Click Add to create a new supplier type.
  4. Enter a Name (e.g. “Vendors”).
  5. Optionally set a Parent type to create a type hierarchy.
  6. Add custom fields to define what information you want to track — for example registration number, address, contact person, website, or account manager.
  7. Click Save.

You can reorder types by dragging them. Each row supports Edit, Duplicate, and Delete actions from the row menu.

If no supplier types are defined, the supplier list will show a message directing you to the app settings.

Navigate to Suppliers from the main menu. The list is organized by tabs — one tab per supplier type. Click a tab to view the suppliers of that type. The total count of suppliers for the selected type appears above the table.

Use the filter bar to narrow the list by company account, custom field values, or keyword search. Save your current filters as a bookmark for quick access later.

Click the Properties button to show or hide columns. Custom fields defined on the supplier type are available as additional columns. Click a column header to sort — sorting is instant.

  1. Click the Add supplier button at the top-right of the supplier list.
  2. If you have multiple supplier types, select the type from the dropdown.
  3. Fill in the supplier form. Available fields depend on the custom fields configured for that type. The Name field is always present.
  4. Click Save.

Click any supplier row to open its detail view. The detail page has two sections:

  • Left side — the supplier sidebar shows field values grouped by field group. URLs appear as clickable links; team member references show avatars; addresses are combined into a single line.
  • Right side — a Notes section where you can add, view, and manage notes attached to this supplier. Note templates configured in the Suppliers app settings are available here.

Click the Edit button (pencil icon) to open the edit form. To delete a supplier, click Delete at the bottom-left of the edit form and confirm.

Suppliers have real contact records, the same as clients — you do not need to store a contact person’s name and email in plain text fields. Each contact is a separate person record with its own name, email, phone, job title, and roles, and one of them can be marked as the primary contact.

Contacts are not shown by default. A Company Owner or Company Admin adds them to the supplier type:

  1. Go to Settings & AppsSuppliersTypes.
  2. Open the supplier type you want (for example “Vendors”).
  3. Add a field and choose the Contacts list field type.
  4. Click Save.

Every supplier of that type now has a Contacts section. Repeat for each type that needs contacts.

  1. Open a supplier and click Edit.
  2. In the Contacts section, click Add contact.
  3. Fill in the contact’s details and click Save.

To edit an existing contact, hover over its card in the supplier sidebar and click the pencil icon. To remove one, use the delete action on the contact row in the edit form and confirm.

On the supplier detail page, contacts show in the left sidebar as cards with an avatar, the contact’s name, and their job title and roles below it. The primary contact is marked with a star and listed first. Any contact custom fields you have configured appear on the card as well.

The Suppliers menu item is not visible in the sidebar

The Suppliers app must be enabled for your company account in Settings & Apps. If you do not see the menu item, ask a Company Owner or Company Admin to enable the app.

Suppliers requires a Team or Elite plan. On the Solo plan the app card is listed but activating it fails with an upgrade prompt. Change your plan under Settings & AppsCompanySubscription, then activate Suppliers.

At least one supplier type must exist before you can add suppliers. Go to Settings & AppsSuppliersTypes and create a type first.

There is no Contacts section on my suppliers

The supplier type needs a Contacts list field. Go to Settings & AppsSuppliersTypes, open the type, add a field of type Contacts list, and save. Contacts are configured per type, so a type without that field shows no Contacts section.

Tabs appear based on the supplier types that have been configured. If a type is missing, a Company Admin may have deleted or renamed it. Check Settings & AppsSuppliersTypes to review the current type configuration.
