The Mailbox is Uku’s outgoing-email log, so you can confirm a client actually received an invoice or reminder and resend it yourself when delivery failed.
Who can do this
Section titled “Who can do this”Any team member of a company on the Team plan and above. The Mailbox shows outgoing email for the companies you belong to.
What the Mailbox shows
Section titled “What the Mailbox shows”Path: app.getuku.com/mailbox
Also: command centre search → type mailbox, mail, or postkast
The Mailbox displays all outgoing emails sent through Uku for the selected company. Each row shows:
- From — the sender name
- To — the recipient name
- Client — the client associated with the email
- Subject — the email subject line
- Sent at — date and time sent, in your company’s timezone
- Status — delivery status (see below)
- Info — additional details or error message
Click any row to open the full email detail dialog. From there you can read the email content and, if the email is linked to a task, click Open related task to jump directly to it.
Email delivery statuses
Section titled “Email delivery statuses”- Sent — accepted by the mail provider. This confirms Uku handed the email off successfully, not that it reached the recipient’s inbox.
- Failed — could not be delivered. The Info column shows the reason. When you open a failed email, a red banner displays “Email not delivered” with error details.
- Warning — sent, but Uku had to fall back to the default Uku email address instead of your custom sender address. The detail dialog shows “Sent, but fallback to Uku email.”
Filtering and searching
Section titled “Filtering and searching”- Date range — quick presets: Today, Yesterday, This week, Last week, This month, Last month, Last 3 months. The date range goes back up to 100 days.
- Company — if you belong to multiple companies, select which company’s outbox to view.
- Client — filter by one or more clients.
- Status — filter by All, Sent, Failed, or Warning.
Save your current filter combination as a bookmark to quickly return to the same view later.
How to resend failed emails
Section titled “How to resend failed emails”- Use the Status filter and select Failed.
- Select the emails you want to resend by clicking the checkboxes on the left side of each row.
- A bulk action bar appears showing how many emails are selected.
- Click Send failed emails in the bulk action bar.
- A confirmation dialog shows how many failed emails will be resent. Click Send all to confirm.
After resending, the table reloads automatically. Only emails with a Failed status can be resent — if you select a mix of sent and failed emails, only the failed ones are included in the resend action.
- Bookmark
app.getuku.com/mailboxin your browser while the navigation entry is hidden — it saves you a search every time. - Check the Mailbox regularly if you use custom sender email addresses — the Warning status can indicate configuration issues with your email setup.
- Use the date range presets (Today, This week, etc.) to quickly review recent activity.
- Click any row to read the full email content and troubleshoot delivery using the error message in the detail view.
Troubleshooting
Section titled “Troubleshooting”Failed emails don’t go out when I resend them
Section titled “Failed emails don’t go out when I resend them”Check that you selected only rows with the Failed status for the bulk action. In a mixed selection, only the failed emails are resent — sent emails are never sent again. If the problem persists, open the detail dialog and read the error message in the Info column.
The status says “Warning” — emails go out from a Uku address
Section titled “The status says “Warning” — emails go out from a Uku address”Your custom sender address configuration isn’t working correctly, so Uku fell back to its own shared address. Review your email settings (Settings & Apps → Email settings) and confirm that authentication succeeds.
The Mailbox shows an empty list
Section titled “The Mailbox shows an empty list”Check the date range filter — a short range may be selected by default. Widen the range and make sure the Company filter is set to the right company, especially if you belong to more than one.
I can’t open the related task
Section titled “I can’t open the related task”The Open related task button appears only when the email is linked to a specific task in the system. Emails sent directly — for example, manual emails not tied to a task — don’t show this link.
