Set up billing under a parent company

  • Company Owners and Company Admins can configure parent company billing.
  • Company Members can edit client billing settings when they hold Client Admin permission on the client and the relevant billing settings allow it.
  • The Billing app must be enabled.
  1. Open the subsidiary client’s profile and click Edit.
  2. In the Parent company field, select the appropriate parent company from the list.
  3. Save the subsidiary client profile.
  4. Navigate to the subsidiary’s Financials > Contracts tab.
  5. Open the contract settings and go to the Configuration section.
  6. Enable Invoice to the parent company.
  7. Save the settings.

Subsidiary invoices now appear under the parent company in the billing view.

Important: The Invoice to parent company setting must be enabled before the invoice creation date. If you enable it after an invoice is already created, the existing invoice is not retroactively re-routed — see Troubleshooting for the fix.

To make it clear which charges belong to which subsidiary, add the {{original_client_name}} placeholder to the product description in the subsidiary’s contracts. When the invoice is generated, this placeholder is replaced with the subsidiary’s name on each line item. See Billing placeholders.

Merge subsidiary invoices into one parent invoice

If you want a single consolidated invoice for all subsidiaries under the parent:

  1. Open the parent company’s profile.
  2. Go to Financials > Contracts > Settings > Configuration.
  3. Enable Invoice from the same period (combine all contracts from the same period into one invoice).
  4. Save the settings.

Each line on the consolidated invoice shows which subsidiary client it belongs to — especially clear when the {{original_client_name}} placeholder is used in subsidiary contract products.

Parent company does not appear in the dropdown

The parent company must exist as a separate client in Uku before you can link a subsidiary. Create the parent client first.

The “Invoice to parent company” setting is missing

Ensure the Billing app is activated and that a parent company has been set in the subsidiary’s client edit view first — the contract configuration option only appears after the parent is linked.

Invoice lines do not show subsidiary names

Confirm that the {{original_client_name}} placeholder is added to the relevant contract product descriptions for the subsidiary.

Setting is enabled but invoices still appear separately

Confirm you clicked Save after enabling Invoice to parent company in the subsidiary’s contract settings. Then verify that the parent company has the Invoice from the same period merge setting enabled if you want a single combined invoice.

Subsidiary invoices created before the setting was enabled are still missing

Existing invoices are not retroactively re-routed when the setting is changed. To fix an invoice that was created before Invoice to parent company was enabled:

  1. Open the subsidiary’s profile and confirm Invoice to parent company is enabled in the contract settings.
  2. Click Save to save the contract settings.
  3. Open the affected invoice.
  4. Click the three-dot actions menu and select Void invoice.
  5. Click the three-dot actions menu again and select Restore invoice.

After voiding and restoring, Uku regenerates the invoice with the updated subsidiary settings applied.

A product is missing from the parent company invoice

If a service added to the subsidiary’s contract after the contract was created does not appear on the parent invoice:

  1. Open the subsidiary’s contract.
  2. Verify the product is listed in the contract rows.
  3. Click Save to re-save the contract.
  4. Open the parent company invoice, void it, and restore it.

Only some subsidiary invoices are missing from the parent

Check each subsidiary individually. The Invoice to parent company setting must be enabled on every subsidiary whose invoices should roll up to the parent.

If the invoice has already been exported to an accounting system, it may need to be handled in the external system first. Contact Uku support for assistance.
