Update client tasks from template changes

When you improve a task template — adding checklist items, adjusting recurrence, updating titles — push the changes to all client workflows that use it. Instead of editing each client individually, update the template once and apply changes in bulk via the Bulk Update panel.

  • Members with admin access to the affected clients.
  • A task template must already exist in Settings & Apps → Tasks → Templates.
  • Client Workflows must have been created from the template you want to update.

When editing a workflow template (not a client instance), the Bulk Update panel appears below the task table. The panel is hidden when viewing a client’s workflow — open the template directly from Settings & Apps → Tasks → Templates.

The panel has four selectors that work together: clients, tasks, fields, and the Repeat tasks from date. Set them in any order, then click Update workflow to apply.

  1. Go to Settings & Apps → Tasks → Templates.
  2. Find and open the template you want to modify.
  3. Edit any of the supported fields listed above.

  1. Toggle the switch to enable the Bulk Update panel.
  2. Select clients — all clients using this workflow are selected by default. Click Edit to narrow to specific clients (for example, when only some clients should receive the change).
  3. Select tasks — choose which tasks to push out. Click Edit to pick individual tasks rather than the whole template.
  4. Select fields — tick the task properties you want to overwrite (title, recurrence, checklist items, custom fields, and so on). Tick Select all to fully sync client tasks with the template.

The Repeat tasks from date determines when updated recurring tasks start their new schedule:

  • Current month — Updates apply to existing tasks starting this month forward.
  • Future month — Preserves current tasks; applies updates from the selected month forward.
  • Past month — Regenerates tasks backward from that date.

  1. Click Update workflow. A confirmation dialog shows exactly how many clients, tasks, and fields will be affected, plus the start date for changes.
  2. Read the warning: “Custom changes to client tasks will be overwritten.”
  3. Click Confirm to apply updates.

The panel only appears when editing a workflow template, not when viewing a client’s workflow. Open the template from Settings & Apps → Tasks → Templates.

Verify you selected the correct clients and tasks during the scope step. Also check that the Repeat tasks from date covers the period where you expect to see changes.

Template updates overwrite custom changes on the selected fields. Before pushing updates, note which clients have custom modifications and exclude them via the client selector, or untick the matching field.

If you selected a past date, tasks with New status before that date may have been deleted and regenerated. Use the current or future month to avoid this.

Ensure you are editing the template from Settings & Apps → Tasks → Templates. The Bulk Update panel appears below the task table on existing templates that are already in use by client Workflows.

Verify the client was not excluded from the update. In the Bulk Update panel, click Edit under client selection to confirm the client is included.
