Bulk-assign members to clients

Editing clients one at a time is slow when you onboard, reorganize, or offboard someone. The Member bulk action on the Clients page changes who’s assigned to a whole set of clients at once. This guide covers adding, replacing, and removing members (or teams), the three client permission levels, and the task options that come with each action.

  • Company Owners and Company Admins can run the Member bulk action on clients they can access.
  • Company Members can’t — this bulk action isn’t available to them.

  1. Go to Clients in the left sidebar.
  2. Use the filters and search to narrow the list, then tick the clients you want to update. Use the header checkbox to select all visible clients at once.
  3. Open the bulk actions bar at the bottom of the page and click Member.
  4. Choose Add, Replace, or Remove, then configure the options below.
  5. Review the summary of what will happen, then click Confirm.

Adds one or more members or teams to every selected client.

  • Pick the people or teams to add.
  • Set Permissions — the client-level access they get (see Permission levels below).
  • Set as Client Manager (one person only) — makes them the client’s main responsible member: the default assignee on new tasks, and where tasks fall back if another assignee is removed.
  • Add to client workflow tasks — also adds them to the recurring tasks in the clients’ workflow templates.
  • Add to incomplete tasks — also adds them to active and pending tasks; optionally only those starting from a date you set.

Swaps one member or team for another across every selected client — the original is removed and the replacement added in the same step.

  • Choose who’s being replaced and who takes over, and set the replacement’s Permissions.
  • Reassign workflow tasks and new tasks and Reassign incomplete tasks (optionally starting from a date) carry the task assignments over to the new member too.

Removes one or more members or teams from every selected client.

  • Pick who to remove.
  • Remove member from workflow tasks and Remove member from incomplete tasks (optionally starting from a date) also strip their task assignments. Tasks they were on fall back to the client’s Client Manager or the Company Owner.

The Permissions picker sets what an added member can do on each client:

  • Client Admin — full edit access to the client record and its tasks and workflow.
  • Client Member — view and work on the client’s tasks, with limited management of the client.

These are per-client, so a member can hold a different level on each client. For how client permissions relate to company access levels and team permissions, see Members and Teams permissions.

The same Member dialog can also transfer or remove workflow roles in bulk — for example, move every “Preparer” assignment from one member to another across the selected clients, or strip a role entirely. Pick a role as the source instead of a person, then choose the member or role to transfer it to.

The bar appears only after you select at least one client with the checkboxes. If Member still isn’t there, confirm you have Company Admin or Company Owner access.

The picker lists active members (and teams). If someone is missing, check that their status is Active on the Members page — Invited or Inactive members may not appear.

I added a member but they still don’t see the client’s tasks

Adding someone to a client grants access to the client’s data but doesn’t put them on existing tasks. Use Add to incomplete tasks during the bulk action, or assign them inside individual tasks. Recurring tasks are covered by Add to client workflow tasks.
