Create tasks from email
Who can do this
Section titled “Who can do this”- Any Company Member, Company Admin, or Company Owner can forward emails to create tasks — as long as their Uku account email matches the sending address.
- Company Admins and Company Owners can enable or disable the feature for the whole company in Settings & Apps.
- Available on the Team and Elite plans.
How to forward an email to Uku
Section titled “How to forward an email to Uku”Path: any email client → forward → uku@getuku.email
- Open the email you want to turn into a task.
- Use your email client’s Forward action.
- Set the recipient to uku@getuku.email.
- Send the forwarded email.
Uku receives the email and automatically creates a new task. No further action is needed in Uku — the task will appear in the Dashboard shortly after the email is delivered.
What gets attached to the task
Section titled “What gets attached to the task”Uku populates the new task with content from the forwarded email:
- Task title — set to the email subject line.
- Task description / activity log — the email body is added as a task comment in the activity log.
- Attachments — any files attached to the forwarded email are uploaded and attached to the task.
- Assignee — the task is assigned to the team member whose account email matches the forwarding address.
- Start and due date — both are set to the date the email was received by Uku.
The task is created under the member’s personal client, not against a specific client company. You can reassign the client, edit the title, and add more details after opening the task.
Enabling or disabling the feature
Section titled “Enabling or disabling the feature”The feature is enabled by default. Company Admins and Company Owners can turn it on or off at any time.
Path: Settings & Apps > E-mails > Settings tab > Incoming emails
- Go to Settings & Apps and click the E-mails app card.
- Open the Settings tab.
- Scroll to the Incoming emails section.
- Toggle Allow email to task on or off.
Troubleshooting
Section titled “Troubleshooting”Why wasn’t a task created from my email?
Section titled “Why wasn’t a task created from my email?”When Uku receives a forwarded email, it looks for a team member whose account email matches the address the email was forwarded from. If no match is found, no task is created and Uku sends a rejection auto-reply to the forwarding address.
The two most common causes:
- Sender address mismatch — the email address you forwarded from does not match the email registered on your Uku account. Check your profile in Uku and confirm the addresses are identical (including the domain).
- Feature is disabled — a Company Admin has turned off Allow email to task in the E-mails app settings. Ask your Company Admin to re-enable it if needed.
The task was created for the wrong team member
Section titled “The task was created for the wrong team member”This happens when the email passes through an intermediary address before reaching Uku. For example, if you set up an auto-forward rule from you@firm.com → shared@firm.com → uku@getuku.email, Uku sees shared@firm.com as the sender and assigns the task to the member who owns that address — not to you.
To ensure the task is assigned correctly, forward the email directly from the address registered on your Uku account, without routing through a shared or alias address in between.
Can I disable email-to-task for my company?
Section titled “Can I disable email-to-task for my company?”Yes. Go to Settings & Apps > E-mails > Settings tab > Incoming emails and turn off Allow email to task. Only Company Admins and Company Owners can change this setting. Disabling it means all emails forwarded to uku@getuku.email will be rejected and the sender will receive an automated reply explaining that the address is inactive.
