Notifications and Activity log

Uku keeps you informed through two connected systems: Notifications alert you to events that require your attention — task assignments, client messages, reminders, and billing events — while the Activity log gives a chronological record of what is happening across your account. This article explains how to use the bell icon panel, navigate the full Notifications and Activity log page, and set your personal notification preferences.

  • All logged-in members can view their own Activity log and notifications.
  • The Activity log is personal — every member, including Company Admins and Company Owners, sees only their own actions. You are still notified about activity that concerns you — for example when another member assigns you a task, or when there is activity on a task you follow.
  • Notification preferences are personal — each member sets their own.

A red badge on the bell icon shows your unread notification count (shown as “9+” when there are ten or more).

  1. Click the bell icon in the top navigation bar to open the dropdown.
  2. The dropdown shows your most recent notifications. Click Mark all as read to clear the unread badge.
  3. Click View all to open the full page. The full page has two tabs: Notifications and Activity log. You land on the Notifications tab — click Activity log to switch to the chronological feed.

The Activity log tab shows a chronological feed of actions in your account. Each entry shows who performed an action, what happened, and when. The feed loads 50 entries at a time — scroll to the bottom to load more.

Activity types and their indicator colors:

  • Task activity (blue) — task created, updated, assigned, finished, commented on, or deleted.
  • Template and workflow activity (purple) — workflows and task templates created or deleted.
  • Client activity (teal) — clients created, updated, assigned, deactivated, or deleted.
  • Account activity — new members joined, company deleted, logins, invitations accepted.

The Activity log shows what happened — action summaries without field-level detail. For change history with before/after values and undo support, use the Audit log (Elite plan, accessible from your profile avatar).

The Notifications tab shows events personally addressed to you. Unread notifications display a blue dot and a timestamp in your account’s primary color. Read notifications appear in a muted style.

Notification types include:

  • Task assigned to you — someone assigned a task to you or delegated work your way.
  • Client Portal messages — a client sent a message or created a request in the Client Portal. These are highlighted with a warm background and a “from Client Portal” label.
  • Task reminders — a scheduled reminder triggered on a task you are responsible for.
  • Billing events — invoices calculated, sent, or failed.
  • Import results — a client or data import finished or failed.
  • Calendar events — vacation or leave request activity.
  • Budget alerts — a client budget exceeded its limit.

Click any notification to navigate directly to its source. If the source record no longer exists, the click may not navigate anywhere.

Sticky popup notifications may appear at the bottom of the screen for high-priority events. Click the X to dismiss one, or click Hide all to suppress popups for one hour.

All notification preferences are managed from your Profile — open it via the profile avatar in the header or the Profile item in the sidebar. The Notifications section is visible directly on the page.

For each notification type you control two channels independently:

  • Email — set to off, or choose a delivery timing (immediately, morning, afternoon, or evening).
  • In-app — toggle whether the notification also appears in your bell icon panel.

Notification types are grouped by category: Tasks & Clients, Billing, Workforce, and general reminders (daily and weekly summaries, timer alerts). Changes apply as you make them — there is no separate save step.

The bell icon appears in the top navigation bar for all logged-in members. If it is missing, refresh the page or clear your browser cache.

Notifications are not arriving in real time

In-app notifications are delivered via WebSocket. If your network connection drops, notifications may be delayed. Refreshing the page re-establishes the connection and delivers any queued notifications.

I am receiving too many email notifications

Go to Profile → Notifications and adjust the email delivery setting for each type to off. In-app notifications are controlled by a separate toggle and are not affected by your email settings.

The 8-hour timer alert email is not arriving

The timer alert email is controlled from Profile → Notifications. Make sure the corresponding toggle is enabled and the email channel is set to on.

I clicked a notification but nothing opened

Some notifications link to records that may have been deleted, or to views you do not have permission to access. If the source no longer exists, the click will not navigate anywhere.
