Dashboard — how to use and set it up

The Dashboard is your personal daily task view. It opens automatically after login and shows all tasks assigned to you, sorted by due date. From here you can filter, sort, group, search, reorder, archive, and save your preferred view as a bookmark.

  • All Uku users see their own Dashboard after logging in.
  • Company Admins and Company Owners can view other members’ tasks using the Member filter.

The Dashboard has three views:

  • Tasks — The default view showing tasks for the current day.
  • Later — Shows tasks that have been postponed to “Later” using bulk actions or the postpone menu.
  • Catch Up — A communication overview showing tasks where a team member added a comment, a client replied to your email, or a client responded via the Client Portal.

A green dot appears on the Catch Up tab when there are new messages. Opened tasks remain in the Catch Up — Seen section until they are marked as done.

  • Planner — Opens a weekly calendar view where tasks can be rescheduled by dragging them to a different day. Use the navigation arrows to view previous or upcoming weeks. Click Today to return to the current day.
  • Search — Finds tasks and client-related information. Typing without pressing Enter searches within client, account, and topic names. Pressing Enter performs a full search across task title, description, checklist, client name, topic name, task ID, and recurrence ID.

  • Client

  • Group by client — Only client names are shown; clicking a client reveals their tasks.
  • Group by project — Tasks grouped by project.
  • Group by topic — Tasks grouped by topic.
  • Group by status — Groups into Undone, In Progress, and Completed.
  • Group by user — Tasks grouped by assigned member.
  • Group by client group — Groups by client groups.
  • Group by period — Groups by day, week, and month.
  • Group by date — Groups tasks with the same start date; earlier tasks appear first.

  • If no date filter is selected, Uku displays tasks for the current day by default. To view older tasks, select a range: 45, 90, or 180 days ago, 1 year ago, or All (maximum 2 years ago).
  • Tasks due today display their date in orange.
  • Email automation status indicators appear on task rows: green = sent successfully, red = failed, grey = automation is set up.
  • Enable Show multiselect from the Grouping icon menu to add checkboxes for bulk actions.

Uku lets you set a custom task order using the Calendar view. After rearranging tasks there, the new order is reflected on your Dashboard when you refresh the page.

  1. Open the Calendar view by selecting it from the main navigation, or by clicking the date shown next to the calendar icon on the Dashboard.
  2. Locate the tasks you want to reorder.
  3. Drag a task to the desired position. A dotted-line placeholder indicates where the task will be placed.
  4. Release the task to drop it into the new position.
  5. Repeat for any other tasks you want to reorder.
  6. Refresh the page to see the updated order on the Dashboard.

Over time, completed and outdated tasks accumulate on the Dashboard. Keep it clean by archiving tasks (which hides them from the active view but preserves them for reference) or deleting them permanently.

Archiving removes tasks from the active Dashboard view but keeps them accessible through filters.

  1. On the Dashboard, select the tasks you want to archive (hover over rows to reveal checkboxes).
  2. Click the three-dot menu in the bulk actions bar and choose Archive tasks.

To find archived tasks later, open the filter bar, set the date range, and set the Task status filter to Archived.

  1. On the Dashboard, select the tasks you want to remove permanently.
  2. Click the three-dot menu and choose Delete task.
  3. A confirmation warning appears. Click Destroy to permanently remove the tasks.

Tasks can only be deleted if there is a single assignee. If a task has multiple assignees, remove the extra assignees first, then delete.

To review tasks that are no longer on the active Dashboard, open the history view directly from the Grouping menu.

  1. Click the Grouping icon on the Dashboard.
  2. Select Show history.
  3. Choose how far back you want to see tasks.

Saving a customized Dashboard view lets you switch between different filtered task lists instantly, without reapplying filters each time. Save your most-used views as bookmarks and set a default that opens automatically when you navigate to the Dashboard.

  1. Apply your desired filters, sorting, and grouping on the Dashboard.
  2. Click the Save bookmark icon (disk icon) in the filter bar.
  3. Choose whether to Add a new Dashboard view or Edit an existing one.
  4. Enter a name for the saved view.
  5. Optionally tick Make this my default view so it loads automatically when you open the Dashboard.
  6. Click Save to confirm.

For the underlying bookmark mechanism — used across Reports, Clients, Billing, and other list views — see How to use bookmarks.

Verify that the date filter is set to today or a broader range. If all tasks are completed or postponed, the default view may show no tasks.

Filters are not persisting between sessions

You need to save your filter configuration as a bookmark. Click the Filter icon, configure your filters, then click the disk icon to save. See How to use bookmarks for details.

The Dashboard shows only your own tasks by default. Use the Member filter to view tasks assigned to other members. This requires Company Admin or Company Owner permissions.

Catch Up shows no messages even though comments were added

Section titled “Catch Up shows no messages even though comments were added”

Ensure you are a follower of the task or that the comment was directed at you. Only tasks with activity relevant to your account appear in Catch Up.

Task order on the Dashboard did not change after reordering in Calendar

Section titled “Task order on the Dashboard did not change after reordering in Calendar”

Make sure to refresh the page after rearranging tasks in the Calendar view. The Dashboard reflects the new order only after a page refresh.

This is expected behaviour. Overdue tasks are always prioritised and displayed first on the Dashboard, regardless of any custom order. Complete or reschedule the delayed tasks to move them out of the priority position.

The task likely has multiple assignees. Open the task, remove additional assignees so only one remains, and then try deleting again.

Open the filter options and set the Task status to Archived. Also ensure the date range covers the period when the task was active.

Old tasks keep reappearing on the Dashboard

Section titled “Old tasks keep reappearing on the Dashboard”

These may be recurring tasks where the current occurrence was not marked as done before the next one was generated. Mark the current occurrence as done or archive it to prevent clutter.

Verify that the Make this my default view checkbox was checked when saving. Re-open the bookmark and tick the option, or save the view again with the default flag enabled.

Default view disappeared after switching browsers

Section titled “Default view disappeared after switching browsers”

Default-bookmark preferences are stored in browser local storage. Open the bookmark from the Dashboard submenu and tick Make this my default view again to restore it in the new browser.
